Tenant Management & Rent Collection
We understand that rent collection is crucial for both tenants and property owners. Here’s how we ensure secure and timely payment handling:
- EFT Payments: Rent is collected via electronic transfer on the 1st of each month.
- Landlord Disbursement: Funds are disbursed between the 7th-9th of the month, depending on holidays.
We follow legal processes under the Residential Tenancies Act to collect overdue payments and, if necessary, initiate eviction proceedings
Renting to students can be highly rewarding for landlords. There is consistent demand every year as new Western University students seek off-campus housing. Western alone has over 42,000 students, many of whom live off campus after first year (Facts & Figures – Western University). This steady tenant pool means student rentals near campus often have low vacancy. Moreover, students commonly rent by the bedroom with roommates, allowing you to charge per room and potentially earn higher total rent than a single-family. In fact, properties near universities can command 30–40% higher rents than those farther, and recent local data shows 3–6 bedroom student houses in London averaging around $900-$1000 per bedroom (Average Rental Prices – Off-Campus Housing Services – Off-Campus Housing, Advisor, Mediation, Services at Western University, London Ontario Canada) – a solid return for investors.
Of course, renting to students isn’t without challenges. Student tenants may be less experienced, and there’s a risk of property wear-and-tear, higher turnover each year, or noise and parties if not managed well. However, with professional management and clear rules, these issues can be mitigated. LS Rental specializes in student housing and implements strict screening and property checks to ensure your investment is protected. Many student tenants are responsible young adults – often with parental support – and with the right oversight, student rentals can be a profitable and stable investment.
Our property management team takes tenant screening very seriously, especially for student rentals. We advertise widely (including Western’s off-campus housing listings) and then vet applicants thoroughly. This includes checking credit history (if any), verifying funding (such as OSAP or parental support). Because many students are first-time renters with limited credit, we often require a guarantor – usually a parent or guardian. A guarantor is a creditworthy person who agrees to cover the tenant’s liabilities under the lease. For example, if a student roommate fails to pay their share of rent, the guarantor can be held accountable to cover it. This added security means you’re protected if any tenant cannot meet their obligations.
Beyond financials, we also look for responsible behavior. We may ask for proof of enrollment (to ensure they are students, if the property is designated for student rental). Our goal is to find respectful, serious students who will treat the property well. By setting clear expectations (noise, parties, upkeep) in the lease and having parental guarantors in place, we greatly reduce the risk of issues. Industry experts note that careful screening and lease co-signers are wise moves to minimize rent disruption, and we put those best practices to work for you.
Rent collection is a top priority for us, and we have a clear process to handle late payments. Most of our student tenants pay on time (especially with parental guarantors in place), but if a rent payment is missed, we act immediately. We send out a polite reminder via text/email to the tenant right after the due date, since sometimes it’s an oversight or technical issue. If we don’t get a prompt response, our team will reach out by phone and even in person if necessary. The goal is to find out why the rent is late – perhaps the student had a financial hiccup or simply forgot – and to arrange a solution.
If a tenant is truly unable or unwilling to pay, we don’t let the situation drag on. We will issue the required legal notice (Form N4 – notice for non-payment of rent) as early as the law allows, which starts the clock on a potential eviction if they don’t catch up. Often, the very act of serving an N4 along with involving the guarantor will resolve the issue – parents might step in to pay the arrears once notified. Throughout this process, we keep you informed but you won’t need to personally intervene. If it comes to it, LS Rental will handle the eviction process from start to finish on your behalf, including filing applications with the Landlord and Tenant Board and representing you at hearings. Our approach balances firmness and fairness: we work with tenants on a plan if they hit a temporary snag, but we also move decisively to protect your income.
With professional management, cases of non-payment are relatively rare and usually short-lived. We also mitigate this risk by having multiple tenants on joint leases – if one roommate falters, the others (and their guarantors) are jointly responsible for the rent, which adds a layer of security. Rest assured, you will receive your rent; either from the tenants, their guarantors, or via legal means if it ever came to that. We aim to keep your cash flow steady and solve any payment problems in accordance with Ontario law.
LS Rental takes a proactive approach to minimize and address any property damage or tenant misconduct. First, our screening and lease process sets the stage: and we include clauses in the lease about maintaining the unit’s condition. We are one of the few management companies that conduct a video move-in inspection with photos, so we have a record of the property’s state before tenancy.
During the tenancy, our regular inspections help catch problems early. If we find unauthorized alterations or neglect (say, walls painted neon green or excessive dirt), we will address it immediately with the tenants. Minor accidental damages (a broken door knob, a hole from a misplaced foot through drywall) will be fixed by our maintenance team, and we will bill the tenant for the repair if it was due to negligence or misuse. For more significant damages or cleanliness issues, we issue written warnings and require the tenant to rectify it (for example, professional cleaning if they’ve made an unhygienic mess).
In cases of serious damage or rule violations (like an out-of-control party causing property or neighbor issues), we will invoke the lease terms and potentially the guarantor. Often, the guarantor’s involvement incentivizes the students to behave – no one wants mom and dad to be notified that they punched a hole in a wall. For extreme situations, we are prepared to pursue the tenant for damages through the Landlord and Tenant Board or small claims court, but that is rare.
Overall, we emphasize preventive measures: durable materials in the property, clear rules and consistent oversight. Most students do not set out to cause damage, and with our guidance and quick response to issues, major problems are uncommon. Should anything happen, you can rely on LS Rental to handle repairs swiftly and hold tenants accountable, so your property stays in great shape.

We offer full-service maintenance so you don’t have to worry about late-night calls or leaky faucets. Tenants can easily submit maintenance requests 24/7 via our online portal, email or dedicated phone line. Once a request comes in, our maintenance coordinator reviews it immediately. We first determine if it’s an issue that is the landlord’s responsibility or the tenants. If it’s a minor tenant-responsible item, we’ll guide the student on how to handle it. For legitimate repair issues, we promptly dispatch our maintenance technicians or vetted contractors to fix the issue.
Our team handles everything from routine fixes (a dripping tap, appliance not working) to emergency repairs (no heat, burst pipe). We prioritize urgent issues – e.g., no heat in winter or severe leaks are addressed immediately, day or night. For each service request, we also check if the problem resulted from tenant misuse or negligence. If a repair is needed due to tenant damage (say a broken window from a party), we will still get it fixed right away to protect the property, but we will charge the tenant for the cost as allowed by the lease.
Importantly, we also perform regular inspections of the property to catch maintenance issues early and ensure the students are keeping the place reasonably clean and undamaged. Proactive upkeep is part of our service – from furnace filter replacements to checking smoke alarms – so that small issues don’t turn into big expensive ones. By having a dedicated maintenance team, LS Rentals keeps your property in excellent condition and your tenants happy. You’ll receive updates on any major repair and can rest easy knowing maintenance is handled professionally.
Absolutely. One thing that sets LS Rentals apart is that we are a full-service company – not only do we manage rentals, but we also have expertise in property maintenance and renovations. If your student rental needs an update or you want to make improvements to increase its value, we can coordinate and execute those projects for you. This can range from small upgrades (like fresh paint, new light fixtures, replacing carpet with durable flooring) to major renovations (like updating a kitchen or adding an extra bathroom). We have a network of trusted contractors and in-house handymen, so we can often get renovation work done cost-effectively and to a high standard.
Upgrading a student rental can significantly boost its appeal and the rent you can charge. Common high-ROI improvements in student housing include modernizing kitchens and bathrooms, installing hard-wearing flooring (e.g. LVP instead of old carpet). Even adding extra amenities like a study space or improved lighting can set your property apart. Renovations that improve functionality and durability are especially beneficial for student rentals – for instance, using quality materials that can withstand heavy use will save money on repairs in the long run. Studies in the student housing industry have shown that even modest upgrades, like new countertops or refreshed cabinetry, can justify higher rents and attract better tenants.
When you partner with us, we’ll assess your property and suggest improvements that fit your budget and goals. We handle all the planning, contractor scheduling, and oversight. Whether it’s during a gap between academic years or a larger project while the unit is occupied, we’ll minimize downtime. The result is a higher-quality rental that appeals to students (and their parents) looking for a comfortable, safe home-away-from-home. By improving your property, we not only enhance its value but also help you achieve higher rental income and long-term appreciation. Legal Compliance
Yes. We guide landlords through the rental licensing process with the City of London and conduct fire inspections to ensure that properties meet compliance standards.
We offer an owner portal (link to owner portal) where you can access real-time information about your property, including maintenance updates and financial statements.
Yes, landlords must maintain property insurance. Tenants are required to secure liability insurance.
Yes. Renting to students is legally no different than renting to any other tenants in Ontario. If you are renting a house or apartment exclusively to the students (and not sharing a kitchen or bath with them), the tenancy is fully covered by Ontario’s Residential Tenancies Act. This means student tenants have the same rights and protections as any tenant. You, as the landlord, must follow all the standard rules under the RTA – for example, providing a safe, habitable home, adhering to rent control guidelines (if applicable), giving proper notice for entry, and using the Ontario Standard Lease.
It’s important for landlords to understand that you cannot discriminate or impose special rules just because someone is a student. All normal eviction processes and legal procedures apply. For instance, if a student isn’t paying rent, you must follow the RTA’s process (issuing an N4 notice, applying to the Landlord and Tenant Board) – you can’t simply remove their belongings or change locks. Likewise, Ontario law forbids charging a damage deposit or any extra fees beyond the last month’s rent. (You can take a last month rent deposit, but it must be applied to rent, not kept for damages. LS Rentals is well-versed in Ontario’s rental laws and ensures all leases, notices, and procedures are compliant, so you don’t have to worry about the legal nuances. We keep you on the right side of the law while managing your student property.
Possibly yes. The City of London has a Residential Rental Unit Licensing (RRUL) by-law that applies to many student rental houses. In general, if your property is a small-scale rental (a house, townhouse (non-condo), or building with 4 or fewer units), you must obtain a rental license from the city (Residential rental unit licences | City of London). This rule was put in place to ensure rental homes meet safety standards and to maintain neighborhood quality. Most houses in the Western University area that are rented to groups of students fall under this requirement. When you apply for a license, the city will check that the property complies with building and fire codes and zoning. They may require inspections for things like proper egress windows, functioning smoke alarms, etc., to protect tenants’ safety.
There are a few exemptions. Purpose-built apartment buildings or condos (5+ units) usually do not require an individual license for each unit. Also, if the owner lives on the property and rents out rooms (owner-occupied), a license might not be needed as long as you rent to no more than 3 tenants at one time (Residential rental unit licences | City of London). (Renting to 1–3 tenants while you live there is considered a small cohabitation and is exempt; renting to 4 or more even with owner present could trigger other requirements like a lodging house license (Residential rental unit licences | City of London). Most student rentals, however, are non-owner-occupied, so plan on licensing.
LS Rental will assist you with the licensing process. We are familiar with the RRUL by-law and can help prepare the application, including the floor plans and inspections needed. We ensure your property meets all requirements (for example, having the proper smoke/CO alarms and egress windows) before applying. Keeping your rental licensed not only avoids hefty fines, it also gives both you and your tenants peace of mind that the home meets city standards. It’s part of our commitment to full compliance and professional management.
Yes, London has specific occupancy and zoning rules that student landlords should be aware of. The city’s zoning by-laws limit the number of bedrooms and tenants in certain rental properties to prevent overcrowding in residential neighborhoods. For single-family homes in London, a maximum of 5 bedrooms is permitted in the entire house by law. If you have more than 5 bedrooms in a house, you would need to take steps (like obtaining a zoning amendment or converting the property) to legalize those extra bedrooms. Homes with more than 5 bedrooms could still comply under the legal non-conforming status, prior to purchasing a property a Buyer should consult with the City if a property would comply with a change of ownership under this designation. This effectively means you can’t cram 8 or 10 students into a typical house – five is the legal limit for most houses.
Furthermore, in areas near Western University (designated as Near-Campus Neighbourhoods), there is an extra rule: if a property is divided into multiple units (say, a duplex or triplex), each unit is capped at 3 bedrooms in those near-campus zones (Residential rental unit licences | City of London). For example, a duplex near campus could have 3 students in Unit A and 3 in Unit B, but not 5-bedroom units each. These rules were created to maintain neighborhood stability and avoid “mini-dorm” situations. ***This existing limitation could change in the near future due to changes under Bill-23 – More Homes Built Faster Act
LS Rental is very mindful of these regulations. We will advise you on the legal layout of your rental. If your property has an illegal bedroom or too many occupants, we’ll suggest solutions – perhaps repurposing a bedroom as an office/den or obtaining the proper approvals if possible. Overall, you can rent to a reasonable number of students, but we’ll ensure it’s done legally and safely to protect you from fines or liability.
